Position Description
The Executive Projects Manager supports the Executive Director through managing complex calendars, tracking priorities and deadlines, coordinating internal communication, preparing materials for the Board and staff, managing administrative systems, and undertaking special projects. The position reports directly to the Executive Director and involves collaboration with the Board of Trustees, CRC staff, donors, vendors, and other important stakeholders. The Executive Projects Manager serves as a trusted partner to the Executive Director and plays a central role in helping advance organizational and strategic priorities.
Primary Responsibilities
The Executive Projects Manager collaborates with the Executive Director and is responsible for a wide range of management tasks and special projects:
Executive calendar and scheduling: Manage the Executive Director’s calendar, schedule internal and external meetings, coordinate public presentations, and triage commitments and deadlines.
Executive support and priority management: Oversee the Executive Director’s daily priorities, follow-up items, development tasks, communications, coordination with staff and Board members, and travel and expense reports.
Board of Trustees support: Coordinate Board and committee logistics, including the annual Board calendar, quarterly Board packets, Board and committee meeting schedules, agendas, minutes, votes, action items, records, and follow-up.
Leadership team support: Attend and help facilitate leadership team meetings, maintain agendas, track action items, and communicate with staff on behalf of the leadership team as needed.
Staff meetings and internal coordination: Help coordinate monthly staff meetings, including scheduling, agendas, communications, logistics, and follow-up.
Special projects and organizational initiatives: Support cross-departmental projects including strategic planning implementation, fiscal sponsorship matters, donor and partner coordination, events, and other priorities that arise.
Contracts and approvals: Track contracts, memoranda of understanding, and other documents requiring Executive Director review or approval. Help ensure adequate time for review, revision, and signature.
Email and records management: Help manage the Executive Director’s email for important communications, attachments, follow-up items, and filing. Maintain accurate records and help ensure important information is stored in the appropriate organizational systems.
Policies and procedures: Help update, develop, organize, and maintain CRC policies and procedures, including drafts, review timelines, Board approval steps, and final filing.
Document organization: Support CRC’s digital and physical filing systems, including naming protocols, restricted Executive Director and Board files, and staff-wide files.
Compliance and risk management: Support organizational compliance systems, including compliance calendars, insurance and certificate of insurance tracking, risk-management follow-up, and coordination with brokers, staff, and advisors as needed.
Technology and administrative systems: Provide occasional support for Microsoft 365 administration, permissions, minor technology troubleshooting, and process improvements that help CRC work more efficiently.
Other work as assigned: Take on practical, time-sensitive, or cross-functional tasks that are important to CRC’s work and organizational effectiveness.

Demonstrated experience in executive support, project coordination, administrative leadership, operations, or a closely related role.
Strong calendar management skills and comfort managing complex schedules.
Excellent organizational skills and attention to detail when writing, scheduling, filing, sharing links, tracking tasks, maintaining records, or booking venues.
Ability to manage confidential and sensitive information with discretion and sound judgment.
Strong interpersonal skills and the ability to work effectively with staff, Board members, donors, vendors, partners, and community members.
Comfort supporting a busy executive leader, including helping track priorities, follow up on deadlines, and communicating clearly about what needs attention.
Tech-savvy and comfort learning or using tools such as Microsoft 365, Outlook, Teams, Zoom, SharePoint, and other administrative systems.
Ability to improve systems, develop efficient processes, and keep work moving across multiple people and departments.

Must be able to sit or stand for an extended period of time; must be able to carry up to 25 pounds
Experience with nonprofit administration, Board support, contracts, project management, HR, event coordination, development, risk management, insurance, or environmental issues is a plus.

Office Location
This position is based in Greenfield, MA, with the possibility of occasional hybrid days. Candidates must be able to travel throughout the Connecticut River watershed in NH, VT, MA, and CT for meetings and events. Some weekend and evening hours are required.
